SCOPE
Reporting to the Manager, Course Registration, Examinations & Academic Scheduling, the incumbent is responsible for coordinating all university examination-related activities to ensure efficient and effective operation of examinations and for providing backup support for the academic scheduling portion of the examinations office.
PRIMARY RESPONSIBILITIES
• Provide support to students, departments and faculty members and respond promptly, accurately to inquiries related to examinations.
• Coordinate the temporary exams office independently during the examination periods, handle unforeseen situations and make necessary adjustments to planned exams when unexpected conditions arise.
• Oversee invigilators and casual exam assistants. Provide support to instructors, students and other staff as well as resolve any conflicts related to examinations.
• Independently handle sensitive and emergency situations that arise with the aim to de-escalate and diffuse situations. This often includes being first to arrive at an emergency or medical situation during an examination and deciding when there is a need to call security or an ambulance and providing support to students in situations of extreme stress.
• Assist in the preparation and publication of the examination schedules.
• Verify final exams submitted by instructors for accuracy and coordinate with faculty, departments to obtain required exam corrections. Coordinate with Dprint and Distribution services for secure printing of exams. Responsible for quality control of exams printed by Dprint.
• Interview, hire, provide training and supervise part-time invigilators, and casual support staff to ensure that academic regulations are upheld.
• Review and approve student requests for DEF or MED notations or supplemental and replacement examinations; schedule and administer these examinations. Follow standardized procedures policy when assessing student requests while exercising judgement depending on the student’s academic or extenuating situation.
QUALIFICATIONS
• Diploma of Collegial Studies (two-year pre-university DEC) and two to four years of relevant work experience.
• Good knowledge (Level 4) of spoken and written English in order draft correspondence and communicate effectively with students, staff and faculty; basic knowledge (Level 3) of spoken French. Written French is an asset.
• Good knowledge (intermediate level of Word and Excel.
• Keen attention to details.
• Ability to work well under pressure and stressful situations during peak periods.
• Excellent interpersonal and communication skills, with the ability to deal sensitively with students and faculty.
• Excellent organizational skills with ability to multi-task in order to effectively organize work and set work priorities in a high-volume environment under time constraints.
• Aptitude to work in a service-oriented environment as both a member of a team and independently.
• Ability to work outside normal operating hours during exams periods.
• Knowledge of the Student Information System (SIS) is an asset.
• Knowledge of Concordia University academic rules and regulations is an asset.
• Approachability (is sensitive and patient with others) and composure (is a calming influence in a difficult situation) are desirable qualities.
• Knowledge of additional languages is an asset.
