Full job description

General description

The Admin Support person supports daily administrative operations, including sample reception and logging, call handling, invoicing, billing, customer communications, report collation, document management, procurement of office supplies and inventory, and other related tasks as required.

Essential functions

Work independently while maintaining a tidy and organized workstation.
Respect the company’s code of confidentiality.
Follow Human Resources, Health and Safety, and Quality Management policies.

General duties

Communicate clearly with clients, staff and customers, both verbally and in writing.
Provide customer service in person, by phone and electronically.
Perform basic bookkeeping tasks, including invoices, account postings and payment reconciliation.
Photocopy, fax, scan, sort, collate and file electronic and hard copy documents.
Use Accounting, Microsoft Office and LIMS software to create and maintain documents.
Attend professional group meetings and complete related duties as assigned.

Qualifications

Post-secondary studies completed or in progress, or equivalent work experience.
Administrative, customer service and office experience are assets.
Strong organization, communication and presentation skills.
Proficiency with Microsoft Windows and Office tools.
Knowledge of environmental science, chemistry or a related science background is an asset.

Knowledge and aptitudes

Customer service, administrative writing, Microsoft Office, process management and organization.
Analysis, professionalism, problem solving and verbal communication.
Ability to maintain professional relationships, accurate records and clear reports.
Ability to manage multiple tasks, work with limited supervision and exercise sound judgment.
Ability to follow safety practices and regulations and communicate clearly and concisely.

Position details

Full-time permanent, on-site position.
40 hours/week during regular business hours, Monday to Friday, 8:30 AM to 5:00 PM.
Employee benefits after a 3-month probationary period.
Starting date: August or September 2026.
Pay rate: TBD.

Pay: From $17.60 per hour

Work Location: In person
