Full job description

We are looking for a reliable and organized Accounting & Operations Administrator to join our team.

This is a hands-on position combining accounting, procurement and day-to-day operational support. We are looking for someone with real experience managing Accounts Receivable and procurement/purchasing, who is comfortable managing multiple responsibilities, takes ownership of their work and follows tasks through to completion without requiring constant supervision.

Key ResponsibilitiesAccounting

Own Accounts Receivable end-to-end — invoicing, collections, follow-up on outstanding payments, and reporting on aging/DSO.
Process Accounts Payable and prepare vendor payment reports.
Enter vendor bills and maintain accurate records in QuickBooks.
Review bank activity and apply customer payments.
Review and reconcile company credit card transactions and ensure supporting vendor bills are properly entered.
Prepare and send customer invoices.
Assist with bank and account reconciliations.
Prepare weekly AR/AP and other accounting reports.
Assist with intercompany billing and transactions.
Maintain organized and accurate accounting records.

Procurement & Operations

Manage the purchasing process — sourcing suppliers, requesting quotes, placing purchase orders, and tracking delivery timelines.
Monitor inventory/stock levels and reorder points, coordinating with suppliers to avoid shortages or overstock.
Communicate with customers, suppliers and vendors.
Follow up on quotations, orders, samples, shipments and outstanding requests.
Maintain and update shipment and customer file statuses.
Assist management with operational projects and follow-ups.
Ensure outstanding tasks are tracked and followed through to completion.
Handle general office administration as required.

Recruitment Support

Review applications through Indeed, Job Bank and other recruiting sources.
Screen potential candidates and coordinate interviews.
Communicate with staffing agencies when required.

Qualifications

3–5+ years of accounting and/or administrative experience, including hands-on Accounts Receivable and procurement/purchasing experience.
Experience with QuickBooks is strongly preferred.
Practical experience with Accounts Receivable, Accounts Payable, invoicing and reconciliations.
Demonstrated experience managing purchase orders, supplier relationships, or inventory/reorder processes.
Good Microsoft Excel and general computer skills.
Strong written and verbal communication skills.
Excellent attention to detail and organization.
Able to manage multiple priorities and meet deadlines.
Comfortable working independently.
Strong follow-up and problem-solving skills.
