For more than 30 years, Archway has been a trusted leader in the North Okanagan, providing compassionate, trauma-informed support to women, children, youth, and families impacted by violence and abuse.

Formerly known as the Vernon Women’s Transition House Society, Archway has grown into a dynamic, community-based organization offering a wide range of free programs and services including safe shelter, counselling, outreach, victim services, child and youth advocacy, housing supports, and more. Our work extends across Vernon, Armstrong, Enderby, and surrounding rural communities as well as, mobile outreach, and virtual supports.

Job Summary:

The Program Assistant provides administrative, technical, and clerical support to the Transition House Manager and assists Transition House staff as needed. This role also serves as the first point of contact for computer troubleshooting, ensuring that all workstations at the Transition House remain in proper working order.

The Program Assistant is often the first voice callers hear when reaching out to the Transition House for services, and brings a trauma-informed, compassionate approach to every interaction .

Qualifications:

Education, Training and Experience

· Grade 12 plus a minimum of one year of post‑secondary courses in business, information technology or office administration

· Strong computer skills including experience with MS Office Programs, internet and email communications, web‑based programs and other related computer software programs including Adobe Advanced, scheduling software, other online databases

· A minimum of three‑year recent related experience

· An equivalent combination of education, training and experience will be considered

Knowledge, Skills & Abilities

· Excellent organizational skills and ability to prioritize

· Excellent written and verbal communication skills

· Friendly and outgoing, with great people skills and the ability to apply diplomacy, tact, and sincerity when dealing with staff and clients

· Ability to handle confidential and sensitive information

· An understanding of and commitment to working from a feminist perspective

Key Responsibilities and Duties:

1. Performs a range of administrative and clerical duties often involving material of a confidential nature.

2. Screens and prioritizes incoming calls and correspondence and directs calls/inquiries to the proper staff member or agency.

3. Under the direction of Residential Program Manager and guided by specific program policies and procedures, schedules Transition House staff, ensuring shifts are covered in compliance with the Collective Agreement. This includes maintaining vacation schedules, availability forms and call‑in logs.

4. Supports the Transition House team with administrative and clerical duties such as developing forms, spreadsheets, etc.

5. Maintains a variety of financial records .

6. Maintains client and program information using a variety of spreadsheets and/or databases.

7. Orders and maintains office supplies and program keys.

8. Provides training and user-support to staff in the use of computer software; diagnoses and resolves basic computer problems, explains program functions and provides suggestions on work methods

9. Ensures computers are in proper operating condition; installing or re-installing software, removing unnecessary files and folders, and re-establishing network connections

10. Prepares meeting agendas and supporting material for distribution. Takes minutes of program related meetings as directed by the Residential Programs Manager.

11. Ensures program information, forms and documentation are accurate, up to date, and complete

12. Performs other related duties as assigned by Residential Programs Manager.

Additional Information:

A Criminal Records Check for working with vulnerable people is required.
Membership with the BC Government and Service Employees’ Union is required.
A valid Driver’s license and availability of personal vehicle for work purposes is required.
Archway Society has an Accredited Facility Dog working in our Community Programs, the canine may be present in meetings attended by the person in this position.
