We are looking for an organized and detail-oriented Accounting & Operations Coordinator to support day-to-day bookkeeping administration, shipping and logistics coordination, inventory tracking, HR administration, and general office operations.
This is a hands-on role suited to someone who enjoys working in a small business environment where accounting, operations, logistics, inventory, and administration often overlap.
Position Overview
The Accounting & Operations Coordinator will help keep the business organized and running smoothly.
This role supports bookkeeping, expense tracking, bank and credit card reconciliations, shipping documentation, inventory records, warehouse coordination, employee administration, and general office operations.
The ideal candidate has experience in bookkeeping or accounting administration, understands the importance of accurate paperwork, communicates clearly in professional English, and is comfortable working with customers, vendors, couriers, accounting, warehouse staff, and management.
This is a coordinator-level role. It is not a senior accounting, customs broker, HR manager, or warehouse manager position. The successful candidate will support these areas under the direction of management and the Accounting Lead.
Key ResponsibilitiesBookkeeping & Accounting Administration
- Support day-to-day bookkeeping administration, including expense tracking, receipts, invoices, and basic financial records.
- Assist with accounts payable and accounts receivable administration.
- Perform routine bank and credit card reconciliations.
- Assist with intercompany transaction documentation and recordkeeping.
- Organize vendor invoices, customer records, payment information, and supporting documents.
- Maintain organized digital and physical records for accounting, administration, and operations.
- Work with the Accounting Lead and management to help ensure financial information is accurate, complete, and up to date.
Shipping, Customs & Logistics Coordination
- Coordinate shipments with FedEx, UPS, DHL, freight carriers, customers, and internal warehouse staff.
- Prepare and organize shipping documents, including commercial invoices, packing slips, courier paperwork, and customs-related documentation.
- Assist with Canada–U.S. shipping documentation, including HS codes, duties, taxes, and import/export paperwork using established company procedures.
- Track shipments and help resolve documentation issues, delivery delays, or missing information.
- Communicate shipment updates internally and, when required, with customers, vendors, or sales agents.
- Maintain organized records for shipments, courier documents, customs paperwork, and related communication.
Inventory, Warehouse & Product Coordination
- Assist with inventory tracking and internal stock records.
- Coordinate with warehouse and production staff regarding product availability, order requirements, shipping status, and backorders.
- Help track incoming and outgoing goods, samples, demo cases, catalogues, and sales materials.
- Support warehouse-related administration and internal communication.
- Help improve processes related to inventory, shipping, sample tracking, and office administration.
HR & Employee Administration Support
- Assist with employee onboarding paperwork, internal forms, employee records, and orientation coordination.
- Maintain employee files, training records, policy acknowledgements, and administrative documentation.
- Support interview scheduling, candidate communication, and recruitment administration when required.
- Help track attendance, vacation requests, sick days, and related internal records.
- Assist with payroll-related documentation and employee information updates.
- Support workplace safety administration, including training records, safety documentation, and WorkSafeBC-related recordkeeping under management direction.
- Handle sensitive employee and company information with professionalism and confidentiality.
General Office & Operations Support
- Provide administrative support to management and internal departments.
- Organize documents, files, reports, forms, and internal records.
- Assist with vendor communication, customer documentation, and internal follow-up.
- Help ensure administrative tasks are completed accurately and on time.
- Track open items and follow up when information is missing or delayed.
- Help maintain structure, organization, and accountability across administrative workflows.
Required Qualifications
- 3+ years of experience in bookkeeping, accounting administration, office administration, operations administration, logistics coordination, or a similar business support role.
- Experience with expense tracking, invoice documentation, accounts payable, accounts receivable, bank reconciliations, or credit card reconciliations.
- Strong professional English communication skills, both written and verbal.
- Strong attention to detail and accuracy.
- Strong organizational and follow-through skills.
- Comfortable communicating by email, phone, and in person with customers, vendors, couriers, warehouse staff, accounting, and management.
- Comfortable working with spreadsheets, documents, email, accounting software, and business systems.
- Able to work full-time in person at our Vancouver office.
- Able to handle confidential financial, employee, and company information professionally.
- Comfortable working in a small business environment where responsibilities may cross bookkeeping, logistics, inventory, HR administration, and operations.
Preferred Qualifications
- Experience with Zoho Books, QuickBooks, or similar accounting software.
- Experience with Canada–U.S. shipping procedures and customs documentation.
- Familiarity with commercial invoices, HS codes, duties, taxes, or import/export paperwork.
- Experience working with FedEx, UPS, DHL, freight carriers, or shipping platforms.
- Experience with inventory tracking, warehouse coordination, or product-based businesses.
- Experience supporting HR administration, onboarding, employee records, payroll documentation, or workplace safety administration.
- Experience in manufacturing, distribution, wholesale, lighting, electrical products, construction supply, import/export, or another product-based industry.
- Familiarity with CRM, ERP, or inventory management systems.
- Professional working ability in additional languages is an asset, but not required.
Ideal Candidate
The ideal candidate is organized, reliable, practical, and detail-oriented.
You should be comfortable supporting bookkeeping, shipping paperwork, inventory records, employee administration, and general office operations. You do not need to be a senior accountant, HR manager, customs broker, or warehouse manager, but you should be able to work carefully, follow processes, keep records organized, and communicate professionally.
This role would be a good fit for someone who has worked in a small or mid-sized business where they were exposed to bookkeeping, shipping, inventory, warehouse coordination, employee paperwork, and office administration.
