Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will have a strong background in office management and administration, with experience in supervising staff and managing various office functions. This role is crucial for ensuring the smooth operation of our office, supporting team members, and maintaining effective communication across departments.

Responsibilities

Oversee daily office operations and ensure efficiency in administrative processes
Supervise and train office staff, fostering a collaborative team environment
Manage front desk activities, including greeting visitors and handling inquiries
Maintain accurate bookkeeping and payroll records using QuickBooks
Handle human resources functions, including employee onboarding and training & development
Organize filing systems and ensure proper documentation of all administrative tasks
Manage vendor relationships and oversee procurement processes
Utilize multi-line phone systems to manage incoming calls with professionalism and phone etiquette
Assist in budgeting processes and financial reporting as needed
Provide clerical support to various departments, ensuring timely completion of tasks
Work with accounting team to ensure proper documents are prepared and ready

Skills

Proven supervising experience with a focus on team management
Proficiency in QuickBooks for bookkeeping and payroll management
Strong front desk management skills with excellent communication abilities
Solid background in human resources practices and procedures
Exceptional organizational skills to manage multiple tasks efficiently
Experience in administrative roles with a focus on clerical duties
Familiarity with vendor management processes and budgeting techniques
Ability to maintain professionalism while handling multi-line phone systems
