We are currently seeking a highly organized, service-driven Scheduling & Service Coordinator to join our team in West Vancouver. This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and is passionate about supporting seniors, families, and caregivers.

About the Role

As a Scheduling & Service Coordinator, you will play a key role in ensuring seamless coordination between clients and Care Professionals. You will be responsible for scheduling, client and caregiver support, compliance tracking, and maintaining strong relationships that contribute to outstanding care experiences.

Key Responsibilities

Answer incoming calls professionally and provide exceptional customer service
Coordinate and maintain caregiver and client schedules
Match clients and Care Professionals based on care needs, skills, availability, and location
Foster strong relationships with clients, families, and Care Professionals
Monitor scheduling changes and ensure continuity of care
Document activities, communications, and updates accurately within company software systems
Maintain accurate and up-to-date client and caregiver records
Address and resolve client and caregiver concerns in a timely and professional manner
Communicate effectively with colleagues, clients, family members, and Care Professionals
Ensure compliance with company policies, procedures, and ethical standards
Participate in office meetings and Care Professional meetings as required
Provide support during emergency scheduling situations and assist with caregiving coverage if needed
Deliver an exceptional experience both in person and over the phone to clients, caregivers, and prospective clients

Qualifications & ExperiencePreferred Experience

Experience in client services, healthcare, home care, senior care, social work, care coordination, or a related field
Experience working directly with older adults, families, and caregivers is considered an asset
Strong hospitality and customer service mindset with excellent communication skills
Ability to multitask, prioritize, and remain calm under pressure

Technical Skills

Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Experience with scheduling or client management software is preferred
Experience with WellSky and/or Salesforce is an asset

Additional Requirements

Availability to work Sunday through Thursday
Ability to work full-time on-site in West Vancouver
Valid driver's license and reliable transportation
Strong attention to detail and organizational skills
Ability to maintain confidentiality and handle sensitive information professionally
Eagerness to learn and contribute to a collaborative team environment
