Administrative Assistant
Wholesome Psychology

Overview
Wholesome Psychology is one of Alberta’s fastest-growing psychology practices, with multiple locations across Edmonton and St. Albert and a team of over 40 therapists. We are proud to provide a warm, professional, and welcoming environment where clients feel cared for and our clinicians can focus on what they do best. As our practice continues to expand, we are seeking proactive and detail-oriented Administrative Assistants to join our team. This role is central to ensuring our offices run seamlessly and that every client experience reflects the Wholesome standard of care.

Key Responsibilities

Manage front desk operations: greet clients with warmth, handle inquiries, and ensure a welcoming, professional environment.
Use Jane (our clinic management platform) to manage scheduling, client records, and billing processes.
Utilize Microsoft Office and Google Workspace for creating documents, spreadsheets, and presentations.
Answer and direct calls on a multi-line phone system, demonstrating professionalism and excellent phone etiquette.
Provide responsive client support by addressing questions and concerns with empathy and efficiency.
Proofread documents to ensure clarity, accuracy, and professionalism.
Collaborate with team members to streamline administrative processes and support overall clinic operations.

Qualifications & Experience

Previous administrative experience is required, with preference given to those who have worked in a psychology or healthcare office.
Familiarity with Jane is a strong asset.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Strong attention to detail with fast and accurate typing skills.
Experience in customer service or client-facing roles, with the ability to communicate clearly and compassionately.
Ability to handle multiple tasks simultaneously while maintaining organization and professionalism.
