Full job description

Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a vital role in maintaining smooth office operations, providing exceptional customer service, and supporting various administrative functions. This position offers an excellent opportunity for individuals with strong clerical skills and experience in office management to contribute to a professional environment that values efficiency and accuracy.

Duties

Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry tasks with accuracy using Microsoft Office, Google Workspace, and other relevant software
Maintain organized filing systems, both physical and digital, ensuring quick retrieval of documents
Handle scheduling, appointment setting, and calendar management for staff and clients
Support bookkeeping activities using QuickBooks and assist with basic bookkeeping tasks such as invoicing and expense tracking
Provide customer support via phone, email, and in person, demonstrating excellent phone etiquette and communication skills
Assist with medical or dental office administrative tasks if applicable, including patient check-in/out and insurance documentation
Proofread correspondence, reports, and other documents for accuracy and clarity
Support administrative projects as needed to improve office workflows and efficiency

Skills

Proven experience with office management or administrative roles; clerical experience preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills with the ability to learn new software quickly
Experience with QuickBooks or bookkeeping software is a plus
Excellent organizational skills with attention to detail in filing, data entry, and proofreading
Ability to handle multi-line phone systems efficiently while maintaining professional phone etiquette
Customer service skills with a friendly demeanor and the ability to support clients or patients effectively
Experience in medical or dental office environments is advantageous but not required
Strong typing skills with high accuracy; capable of managing multiple tasks simultaneously
Ability to work independently as well as part of a team in a fast-paced environment

Pay: $21.00-$23.00 per hour
