Reports to: Intervention Manager, CFS

Job Summary:
The Administrator provides high-level, confidential, and culturally respectful administrative support to the Child & Family Services (CFS) Intervention team. Reporting to the Intervention Manager, this role supports efficient daily operations through effective documentation, file coordination, and accurate record management in alignment with organizational procedures and provincial and federal requirements. The Administrator exercises strong judgment, discretion, and professionalism while supporting timely service delivery to children, youth, and families and upholding Indigenous community values, protocols, and traditions.

Duties and Responsibilities

Provide senior-level administrative support to the Intervention Manager and Intervention team, ensuring timely, professional, and culturally respectful service delivery support.
Coordinate daily administrative operations including scheduling, calendar management, meeting logistics, preparation of materials, travel coordination, and follow-up on action items.
Maintain organized workflow and tracking systems (logs, reminders, task lists) to support team efficiency, prioritization, and timely completion of deliverables.
Track sensitive documentation, records required for intervention work, internal processes, and external reporting for compliance purposes.
Support secure record management practices, uphold confidentiality, privacy, information-sharing protocols, organizational policies and procedures at all times.
Coordinate and support internal meetings, case conferences, and planning sessions, including accurate minute-taking and distribution of follow-ups and action items.
Draft and distribute professional communications and written materials (memos, letters, internal documents) on behalf of the Intervention Manager.
Handle sensitive matters involving children, youth, families, staff, and legal documentation with sound judgment, discretion, and a high level of professionalism.
Support a positive and team-based work environment grounded in Indigenous values, community relationships, cultural safety, and trauma-informed practice, while demonstrating a willingness to learn and follow community protocols.
Perform other duties and responsibilities as assigned to support organizational objectives.

Qualification and Skills

Diploma or certificate in Office Administration, Business Administration, Records Management, or a related field is an asset, along with 3–5 years of progressively responsible administrative experience (preferably in child and family services, human services, health, legal, or government environments).
Strong understanding of confidentiality, professional conduct, and secure handling of sensitive records, supported by a high level of discretion, sound judgment, and professionalism.
Demonstrated ability to manage competing priorities in a fast-paced environment while maintaining strong attention to detail, accuracy, and quality in written documentation (grammar, spelling, and formatting).
Strong interpersonal and communication skills, with the ability to work effectively with diverse personalities, roles, and stakeholders, and maintain composure in high-pressure or emotionally sensitive situations.
Ability to work independently while contributing to a collaborative, team-based environment.
Proficiency in Microsoft Office (Outlook, Word, Excel, Teams) and experience using databases and file tracking systems.
Experience working with Indigenous communities, organizations, and/or service delivery models is a strong asset.
Knowledge of Cree and/or Dene is considered an asset.

Requirements:

Clear Criminal Record with Vulnerable Sector Check.
Clear Child Intervention Record Check.
Class 5 License with a clear Drivers Abstract.
Availability to travel and work outside of business hours when necessary.
