ABOUT THE COMPANY

CTS Law Services is a growing legal practice based in Toronto, dedicated to providing exceptional legal support and advice to clients across Ontario. Our team is collaborative, supportive, and focused on delivering results. We are looking for a Receptionist / Legal Assistant to join our team in a hybrid capacity.

ABOUT THE ROLE

We are seeking a highly organized, professional, and client-focused Receptionist / Legal Assistant to join our Toronto office. This position is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and is interested in developing a career within the legal industry.

As the first point of contact for our office, you will play an important role in creating a positive client experience while also providing administrative and legal support to our team. In addition to reception duties, this position offers an opportunity to learn and assist with entry-level conveyancing and real estate file management.

KEY RESPONSIBILITIES

Reception & Administrative Duties

Welcome clients and visitors in a professional and friendly manner
Answer, screen, and direct incoming phone calls
Schedule appointments and coordinate meetings
Respond to client inquiries and provide general office information
Process client payments and issue receipts
Complete daily bank deposits
Manage incoming and outgoing mail, courier packages, and deliveries
Open and maintain client files
Organize and maintain physical and electronic filing systems
Assist with general office administration and support firm operations
Contribute to an efficient workflow and positive office environment

Entry-Level Conveyancing & Legal Support

Assist with opening and organizing real estate and conveyancing files
Prepare basic legal documents and correspondence using firm templates
Obtain and organize documents required for real estate transactions
Communicate with clients, financial institutions, and third parties regarding file requirements
Assist legal assistants and lawyers with file management and administrative tasks
Learn conveyancing procedures and support residential real estate transactions from opening to closing

QUALIFICATIONS & SKILLS

Previous experience in reception, office administration, customer service, or a related field is considered an asset
Post-secondary training in office administration, legal administration, or a related discipline is an asset but not required
Proficiency with Microsoft Office, Outlook, and general computer applications
Strong interpersonal, communication, and customer service skills
Excellent organizational skills and attention to detail
Ability to multitask, prioritize responsibilities, and meet deadlines
Strong problem-solving abilities and willingness to learn
Ability to work independently while also contributing to a team environment
Professional, dependable, and motivated with a strong work ethic
