Reporting to the Associate Registrar, Records, Registration, and Reporting, the Registration Advisor provides comprehensive academic support and records management to ensure a seamless student experience from enrolment through to graduation. This role balances technical data integrity, including the maintenance of system data, the Academic Calendar, and statistical reporting, with exceptional frontline service. Working collaboratively within a team, the Registration Advisor assists all students, faculty, and staff with inquiries regarding program planning, registration processes, and degree audits. From processing student record requests to executing final graduation audits, the Registration Advisor serves as a vital resource for navigating the administrative and academic landscape of the Office of the Registrar.
Responsibilities:
- Ensure data integrity within the Student Information System (SIS) by meticulously processing course changes, program modifications, course reductions and challenges, interruptions of study, withdrawals, and grades.
- Provide comprehensive advising to students regarding registration, program planning, athletic eligibility, academic performance, and graduation requirements through in person or virtual meetings.
- Maintain and archive institutional statistics, facilitating the compilation and analysis of data for both internal and external reporting requirements.
- Configure and maintain degree audit rules and program planners within the Student Information System (SIS), to ensure automated systems reflect current academic policies.
- Facilitate the end-to-end graduation process, including conducting final degree audits and processing graduation applications for all programs.
- Act as a primary point of contact for internal and external stakeholders, utilizing advanced problem-solving techniques to resolve sensitive inquiries with discretion and efficiency.
- Support the Associate Registrar, Records, Registration, & Reporting with the development and distribution of communications regarding university programs and degree requirements across multiple platforms, including phone, email, and the university website.
- Partner with the Transfer Credit Coordinator to help manage Visiting Student Requests and other post-admission credit evaluations; maintain the integrity of the transfer credit database, support international and domestic grade conversions, and manage the syllabus archive to facilitate student mobility.
- Counsel students on the academic appeal process and documentation requirements, ensuring all submissions are accurately vetted and formally presented to the correct approval authority for decision.
- Assist the Associate Registrar, Records, Registration, & Reporting with the implementation of new courses or course changes within the Student Information System (SIS), as per General Faculty Council approval.
- Compile and prepare institutional statistics and reports for use by internal stakeholders across the university.
- Assist the Associate Registrar, Records, Registration, & Reporting in gathering and verifying data for mandatory provincial and federal reporting, including Learner & Enrolment Reporting System (LERS) submission through Alberta Advanced Education.
- Support the Registrar in the annual publication and continuous maintenance of the Academic Calendar, ensuring all institutional policies, dates, and course descriptions remain accurate and up to date throughout the academic year.
- Collaborate with leadership and IT Services in identifying the need for database enhancements and participate in any related development, testing, and feedback processes as required.
- Support the Registrar in implementing course planning and final exam schedules through meticulous administrative management and cross-departmental coordination.
- Represent the Office of the Registrar at key institutional events, providing expert guidance and administrative support during Info Nights, Open Houses, and Registration Rallies to drive enrolment and student engagement.
- Support the institution in executing the Convocation ceremony, from initial graduation audits and stage preparation to the final distribution of degree parchments.
Requirements:
- Bachelor’s degree is required.
- Minimum of two (2) years of experience in customer service or student-facing role is required.
- Satisfactory Criminal Records Check results are required.
