Full job description

Position: Logistics Coordinator

Employment Type: Full-Time / Permanent

Schedule: Monday to Friday; 8:00 AM – 4:30 PM

Location: Edmonton or Calgary office

The best logistics professionals do more than just move freight. They proactively solve problems before they arise, maintain composure under pressure, and prioritize the client experience. We are expanding our Freight team and seeking a Logistics Coordinator who is eager to join a high-performing team that values execution and doing things the right way.

Duties and Responsibilities:

Plan and schedule freight shipments for both inbound and outbound client needs.
Match loads with appropriate carriers based on cost, service, and capacity
Ensure accurate and timely booking of shipments, pickups, and deliveries
Monitor shipments in transit and proactively address delays, disruptions, or service issues

Carrier Management:

Source, vet, and onboard qualified carriers in compliance with company and regulatory standards
Build and maintain strong relationships with carriers to ensure capacity and service reliability
Negotiate competitive rates while maintaining quality service standards
Track and evaluate carrier performance (on-time delivery, claims, compliance)
Partner with Customer Service Representatives (CSR’s) to facilitate accurate and timely freight quotes, ensuring invoicing is properly aligned with contractual agreements and service expectations.
Strategically negotiate with selected carriers to achieve low-cost tariff solutions, improving profitability while maintaining high service standards across freight operations.
Engage with warehouse supervisors, CSRs, and management to identify freight-related issues, collaborating with carriers on solutions before escalation.
Monitor the process for carrier OS&D and claims, interacting where necessary to provide resolutions.

Customer Service & Communication:

Serve as a primary point of contact for customers regarding shipment status, issues, and updates
Provide proactive communication on delays, exceptions, and resolutions
Ensure customer requirements and special instructions are clearly understood and executed

Documentation & Compliance:

Ensure all shipping documentation is accurate, complete, and compliant (BOLs, PODs, contracts, rate confirmations)
Maintain compliance with transportation regulations and brokerage standards
Verify carrier insurance, safety ratings, and regulatory compliance
Verify that all freight payables comply with company timelines, addressing billing discrepancies and conducting random audits.

Problem Solving & Exception Management:

Quickly resolve shipment issues such as delays, damages, capacity shortages, or routing challenges
Escalate critical issues when necessary and provide timely solutions
Manage claims processes and documentation when applicable

Other related duties as assigned.

Qualifications:

1 – 3+ years of experience in freight forwarding and/or transportation planning.
Exceptional organizational and time-management abilities, with a proactive mindset and keen problem-solving skills.
Proficiency in Microsoft Office tools, especially Excel, Outlook, and PowerPoint.
Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or related field is an asset.
Proven analytical capabilities to gather and interpret logistics data, manage quotes, assess costs and rates, and contribute to annual tariff development
Intermediate experience in planning, inventory control, budgeting, and financial forecasting.
Familiarity with Warehouse Management Systems (WMS); experience with systems such as, Maves or Korber is preferred.
Understanding of Transportation Management Systems and tracking tools commonly used in the industry is preferred.
Ability to remain composed and exercise sound judgment in high-pressure or time-sensitive situations.
Strong interpersonal and communication skills, both verbal and written, with the ability to collaborate across teams and with external partners.

Requirements:

Physically able to perform all job functions of the position. The candidate must be able to frequently look over shoulders, sit, stand, and walk for extended periods at a time.
