Western Continuing Studies (WCS) is the educational bridge between Western University and the global community. Responsibilities

The Program Assistant supports the effective and efficient administration of multiple program areas at Western Continuing Studies (WCS). Serving as a key point of contact for the instructional team, the role provides comprehensive coordination of instructional operations, including managing instructor scheduling and engagement, issuing teaching contracts, reviewing course materials for quality and compliance and overseeing the creation and maintenance of online course sections in OWL. The role also provides guidance to instructors on student accommodations. The Program Assistant serves as a resource in multiple areas of student support and services, providing guidance and resolving inquiries related to application processes, program eligibility, course and program planning, progression, policies and procedures, admission requirements including international applicants.

Working across multiple systems and high volume programming, the Program Assistant contributes to operational excellence, student satisfaction and retention, and the overall financial and strategic objectives of WCS.

Qualifications

Education:

3 year college diploma

Experience:

3 years of experience in the following:
- Coordinating the logistics of specialized programs or services
- Retail, sales or service environment with a strong customer service and teamwork orientation

Knowledge, Skills & Abilities:

Strong customer service skills to handle inquiries and resolve issues in a professional and timely manner
Strong interpersonal, verbal and written communication skills and the ability to build effective working relationships across diverse stakeholders
Ability to interact professionally with students, staff, instructors, corporate and community partners and other members of the University community
Ability to work independently and collaboratively to support team objectives and operational policies
Ability to manage competing priorities in a fast-paced business environment, meet deadlines and adapt to growth and changing demands
Ability to investigate defined issues, solicit input, and suggest remedies and alternative approaches that meet the needs of the situation
High level of initiative and accountability, with a focus on delivering high quality outcomes in a high performance environment
Strong organizational, problem-solving, time management skills with a high level of accuracy and attention to detail
Strong attention to detail and proofreading skills, and an excellent command of the English language
Experience working with multiple software systems and databases, with the ability to manage and maintain data accuracy
Intermediate computer skills in Microsoft Office (Word, Excel, PowerPoint)
