What We're Looking For

We are looking for someone who is dependable, accurate, organized, and willing to learn. The successful candidate will be comfortable taking direction, following established procedures, asking questions when clarification is needed, and working collaboratively with other members of the office team.

Because this position involves financial records, customer accounts, employee information, and other confidential business information, professionalism, discretion, and attention to detail are essential.

Job Overview

We are seeking a detail-oriented and organized Accounts Payable & Accounts Receivable / Administrative Assistant to join our office team.

The primary focus of this position will be Accounts Payable (AP), Accounts Receivable (AR), and accounting-related duties, with additional administrative responsibilities and office support as required.

The successful candidate should have previous hands-on AP/AR experience, strong attention to detail, excellent organizational skills, and experience working with accounting software. Experience with Sage 50 is preferred but not required.

This position is ideal for someone who is comfortable working in a busy office environment, managing multiple priorities, and performing both accounting and administrative duties.

Key Responsibilities

Accounts Payable & Accounts Receivable

Process and verify accounts payable invoices for accuracy and proper authorization.
Enter and maintain vendor invoices and account information.
Process accounts receivable transactions and customer invoices.
Post and track customer payments.
Monitor outstanding accounts and assist with collection follow-up.
Reconcile accounts and investigate discrepancies.
Maintain accurate and up-to-date financial records.
Perform accurate data entry of financial transactions.
Assist with month-end accounting procedures and account reconciliations.
Communicate professionally with customers and vendors regarding invoices, payments, discrepancies, and account inquiries.
Perform general bookkeeping duties as required.
Maintain accounting records using Sage 50.

Administrative & Office Support

Receive, print, review, and organize timesheets from job sites.
Assist with employee onboarding and related documentation.
Maintain organized electronic and paper filing systems.
Prepare absenteeism reports.
Prepare letters, quotes, labels, forms, and other business documents.
Provide secondary support for processing service work orders.
Provide secondary telephone coverage and direct incoming calls.
Greet customers, visitors, and delivery personnel as required.
Receive and distribute packages and deliveries.
Coordinate courier and mail pickups and prepare outgoing packages.
Provide general administrative support to Management and other office staff as required.

Qualifications

Required

Minimum 5 years of hands-on Accounts Payable and Accounts Receivable experience.
Strong understanding of AP and AR processes.
Previous experience using accounting or bookkeeping software.
Experience performing account reconciliations and resolving discrepancies.
Strong Microsoft Excel and general computer skills.
Excellent data-entry skills with a high level of accuracy.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities and meet deadlines.
Professional written and verbal communication skills.
Comfortable communicating with customers and vendors by telephone and email.
Ability and willingness to perform both accounting and general administrative duties.
Strong basic mathematical skills.

Preferred

Experience using Sage 50 Accounting.
Previous Accounts Payable/Receivable experience.
Previous experience working in an administrative or office support position.
Experience working in a construction, electrical, service, or trades-related business environment is an asset.

Pay: $39,618.38-$60,000.00 per year
