Administrative Officer

Reporting to the Manager, Administration, the Administrative Officer is responsible for executing the day-to-day administrative function to support Graysbrook’s operations. This role encompasses administrative, client servicing and financial administration functions of the organization. The specific areas of responsibility are:

Administration: Maintain accurate and organized client records, documentation, and information systems. Prepare operational reports and support the effective administration of lending activities through efficient processes and record management.
Client servicing: Serve as the primary point of contact for post-funding client inquiries and requests. Provide ongoing support to clients, brokers, lawyers, and other stakeholders while ensuring timely communication and exceptional service throughout the lifecycle of a mortgage file.
Financial Administration: Coordinate and administer mortgage servicing activities, including fundings, payouts, renewals and discharges. Process financial transactions, maintain accurate financial records, complete reconciliations and support month-end reporting requirements.

Education / Experience:

University degree in business or an equivalent from a community college.
Minimum of three (3) years in an administrative support role.
Basic bookkeeping experience, with banking experience considered to be an asset.
Equivalent combination of education and experience will be considered.
