Job Summary
Canway Facilities Solutions is a commercial cleaning and facilities management company looking for a highly organized, proactive, and detail-oriented part-time Office Administrator / Operations Coordinator to join our team!

This role is ideal for someone who enjoys keeping operations running smoothly, managing schedules, handling bookkeeping/admin tasks, and communicating with clients and internal teams.

Responsibilities Include:

Monitor and respond to daily emails and communications
Manage company calendars and coordinate scheduled work updates
Coordinate with commercial sites regarding cleaning schedules and service requests
Maintain and update service calendars and operational schedules
Communicate with internal teams regarding client requests, schedule changes, cancellations, and reminders
Manage incoming mail, documents, and company correspondence
Prepare purchase orders as required
Coordinate with operations staff on ongoing jobs and work updates
Track insurance renewals and ensure company compliance
Maintain vendor compliance records and update required documentation (COIs, vendor portals, etc.)
Assist with quotes and estimates when required

Bookkeeping & Accounting Support

Record and maintain daily transactions in QuickBooks
Enter and process invoices, payments, and statements
Prepare journal entries, payroll information, and petty cash records
Update bookkeeping records and reconcile bank statements
Assist with tax-related remittances (WSIB, HST/GST)
Prepare corporate tax payment information as needed

Payroll & Invoicing

Verify employee/cleaner submitted hours using mobile timesheet systems
Prepare bi-weekly payroll summaries and submit to payroll
Send reminders and follow-ups on overdue invoices
Prepare and issue monthly invoices for commercial cleaning services, additional work requests, and supplies delivered
Coordinate payments for subcontractors and suppliers

Qualifications

Required:

Previous experience in office administration, operations coordination, bookkeeping, or a similar role
Strong organizational and time-management skills
Experience with QuickBooks, Google Sheets
Excellent communication skills (written and verbal)
Strong attention to detail and ability to multitask
Comfortable working independently in a remote environment

Preferred:

Experience in the cleaning, facilities, construction, or service industry is an asset
Experience with payroll coordination and invoicing
Experience managing schedules and multiple client accounts
