Full job description

Job Summary
We are seeking a dynamic and detail-oriented On-Site Construction Project Coordinator to lead and manage complex projects at our operational sites. This role is vital in ensuring seamless project execution, fostering collaboration among diverse teams, and maintaining high standards of quality and efficiency. The ideal candidate will be energized by coordinating multiple initiatives, applying robust project management methodologies, and driving continuous improvement through innovative practices.

Duties

Assist in planning and coordinating construction projects from initiation to completion, ensuring alignment with schedules, budgets, specifications, and quality standards.
Prepare cost forecasts and budget estimates, and monitor project expenditures against approved allocations.
Develop and update project schedules, track milestones, and report schedule variances and progress updates to the Project Manager.
Procurement, RFQs & Contract Administration
Prepare Requests for Quotation (RFQs), support evaluation of vendor submissions, issue work orders, and coordinate contract documentation under the direction of the Project Manager.
Perform procurement duties including contacting vendors, verifying deliveries, and maintaining material and delivery logs.
Drawings, Documentation & Platform Administration
Coordinate with consultants to resolve drawing discrepancies identified by trades and ensure revised drawings are issued and distributed promptly.
Manage the construction management software platform as the primary administrator, maintaining accurate project records, schedules, correspondence, and documentation (e.g., drawings, RFIs, submittals, meeting minutes, site reports).
Meetings, Communication & Stakeholder Management
Schedule and document meetings with subcontractors, consultants, and stakeholders; distribute agendas, minutes, and action items.
Act as a liaison between project management, subcontractors, consultants, and clients to ensure effective communication and project alignment.
Site Support, Safety & Deficiency Management
Supervise construction activities in the absence of the Site Supervisor, ensuring adherence to safety, quality, and site requirements.
Prepare and monitor Pre-Delivery Inspection (PDI) deficiency lists, coordinate with subcontractors to close deficiencies, and track completion status.

Experience

Diploma/degree in Construction Management, Civil Engineering Technology, Architecture/Building Science, or a related field (or equivalent practical experience).
2+ years of experience in a project coordination role within construction (residential, ICI, or commercial).
Strong ability to read and coordinate construction drawings, identify discrepancies, and support document control.
Experience with Microsoft Office (Excel, Outlook, Word).
Working knowledge of procurement processes, RFQs, and vendor coordination.
Strong organization, follow-up, and documentation discipline; able to manage multiple priorities in a fast-paced site environment.
Valid driver’s license and ability to travel to project sites as required.
