Overview

W.O. Stinson & Son Ltd. is a family business specializing in fuel distribution, motor oil and lubricant distribution and HVAC services. We are committed to reliable service, strong customer relationships, and a supportive team environment. We are seeking an individual who can multitask as a dedicated Junior Dispatcher / Warehouse Assistant and Office Administrator to support our office and warehouse operations. This role combines administrative support, dispatch coordination, and hands-on warehouse assistance. The ideal candidate is organized, adaptable, and comfortable balancing office duties with occasional physical tasks in the warehouse.

Key Responsibilities

Coordinate and schedule deliveries of fuel, propane and motor oil/lubricants
Assist dispatch with daily routing, communication with drivers and customers, and follow-up
Handle incoming and outgoing calls
Maintain accurate customer records, notes, and documentation
Process payments
Support general office administration including filing, scanning, posting, and reception as needed
Assist with warehouse tasks such as organizing stock, preparing orders, and general upkeep
Perform inventory control duties including tracking stock levels, updating records, and reporting shortages
Provide excellent customer service and maintain positive client relationships
Be part of the on-call rotation to schedule emergency deliveries and service

Qualifications

1–3 years of administrative, dispatch, or warehouse experience (service or logistics industry preferred)
Strong Microsoft Office skills (Business Central, Outlook, Excel, Word) — must be comfortable with spreadsheets, data entry, and digital recordkeeping
Ability to multitask and prioritize in a fast-paced environment
Strong communication skills and a professional, customer-first approach
Comfortable assisting in a warehouse setting (light lifting, organizing stock, etc.)
Experience with dispatch or scheduling software considered an asset
Reliable, punctual, and able to work independently and as part of a team
