Job Summary

As a Grants Development Associate, you will help Grants Office's Canadian clients find the right grants for their work, and turn what you find into clear guidance they can act on. You will build the client relationships and funding knowledge that help organizations across Canada get funded, and help grow the grantseeking community we serve. This is a generalist role supporting our full Canadian client portfolio, which spans higher education and K-12, small and medium business and the private sector, provincial and local government, and nonprofit organizations, on projects across areas such as municipal IT, community connectivity, utilities, smart transportation, public health, emergency services, manufacturing, and natural resources.

Grants Office, LLC is a Rochester-based small business with North American partners and clients across the public, nonprofit, private, and technology sectors. The position includes a benefits package and the chance to develop real expertise in funding and government processes.

Quick Facts

Title: Grants Development Associate for Canada
Reports to: Manager of Research and Consultation
Starting Date: As soon as possible
Rate of Pay: Base salary ranges from $74,750 to $81,800 CAD (approximately $53,000 to $58,000 USD), commensurate with experience. With the office and health-coverage stipends included, total compensation reaches the equivalent of approximately $55,000 to $60,000 USD. Candidates who join with substantial relevant experience may be considered for the Grants Development Consultant position instead, with a starting band of $81,800 to $88,850 CAD (approximately $58,000 to $63,000 USD) depending on experience (see Key Points).
Time Commitment: Full-time (Monday through Friday, 9:00 a.m. to 5:00 p.m. Eastern). Flexible scheduling may be considered with manager approval.
Location: Fully remote within Canada. Candidates located in the Buffalo, Rochester, or Syracuse regions of New York State and authorized to work in the United States will also be considered.
Benefits: Paid Time Off, Family Leave, a $1,500 CAD annual stipend to offset the cost of your own health coverage, and a $50 CAD bi-weekly stipend toward home-office and other work-related expenses.

Responsibilities

Research grants databases, agency websites, and other funding sources to find opportunities that fit each client's work, and contact federal, provincial, territorial, and municipal grantmaking agencies by phone and email to clarify details on promising ones.
Identify the right opportunities for each client based on their specific project interests and needs, and deliver written funding summaries in the required format.
Work closely with clients, helping them see which opportunities fit and how best to pursue the strongest ones, and supporting the development of competitive applications.
Help clients and partners become stronger grantseekers through training, webinars, community presentations, and articles for FUNDED magazine and other Grants Office or partner-sponsored publications.
Coordinate with the Multimedia Coordinator to support content on our social media, website, and other channels, following Grants Office branding standards.
Track opportunities, recommendations, client communications, and completed tasks; keep Grants Office's internal databases current; and create regular reports for internal and external use.
Use Grants Office's AI-supported tools to work more efficiently, always applying your own judgment and review to what they produce.
Expect to spend roughly half your time in direct client and funder contact, most of it by video and phone.
Other duties as assigned, as client or company needs require.

Qualifications

Fluency in Québécois (Canadian) French and English is required (spoken, written, and reading), including comfort with the terminology and conventions used in Québec and federal French-language grant programs.
Bachelor's degree (BA or BS) required. Preference will be given to candidates whose degree is in a field that builds a foundation in one of the client sectors we support, such as information technology, public administration, public policy, or finance. A master's degree in a relevant field, or three or more years of relevant professional experience spanning both grants and one or more of the client sectors we support, earns special consideration.
Priority consideration goes to candidates with grant-funded project experience in Canada and relevant client or project experience in the sectors we serve, such as higher education and K-12, small and medium business and the private sector, provincial and local government, and nonprofit organizations. This background typically brings familiarity with the funders common to those sectors: the federal granting councils (NSERC, SSHRC, and CIHR) and the Canada Foundation for Innovation for higher education and research; Innovation, Science and Economic Development Canada and the regional development agencies for the private sector; and provincial funding streams and programs such as the Canada Community-Building Fund and the Canada Public Transit Fund for government clients.
A willingness and ability to research and learn about clients and their projects across a wide range of sectors, adapting quickly to unfamiliar funding areas.
Superior written and verbal communication skills, with an ability to explain complex funding information and processes clearly.
A customer-service orientation and a talent for building strong relationships with clients and grant program contacts.
Resourceful in research and quick to become self-sufficient, comfortable finding opportunities across many channels, including grants databases, agency websites, web searches and alerts, budget and policy documents, listservs, and direct contact with funders.
A proactive, self-directed worker who can operate independently in a remote environment, meet deadlines consistently, improve on processes on your own initiative, and stay constructively busy or flag when you have capacity for more.
A collaborative team member who pitches in to help colleagues, and who is ready to grow as the role does and step up to meet new challenges as they emerge.
Interest in grantseeking, grantwriting, and the grantmaking process, or hands-on experience with them. A minimum of one year of experience with successful grantseeking or award administration is preferred but not required.
An openness to learning new technology tools, including AI, as our workflows evolve.
Experience with Salesforce or another CRM is a plus.

Key Points

The position is fully remote. Candidates based in Canada are prioritized. We may also consider those based in the Buffalo, Rochester, or Syracuse regions of New York State and authorized to work in the United States. A suitable home workspace is essential: a dedicated area free from distraction and external noise, with a professionally appropriate background for video calls and reliable high-speed internet. Travel to Rochester, NY once per year for the company retreat is expected, along with travel within Canada for public speaking engagements up to five times per year, as needed. Prevoius public speaking experience is a plus.
Candidates who join with substantial relevant experience may be considered for placement directly into the Grants Development Consultant position, with a starting band of $81,800 to $88,850 CAD (approximately $58,000 to $63,000 USD) depending on experience.
This is an entry-level position, and full training is provided. As you develop in the role, you will begin taking on the work that defines the Consultant position. That includes supporting business development, managing client and professional-association relationships, and mentoring more junior colleagues. Advancement hinges on the ability to significantly grow Grants Office's client portfolio and the demand for its services in Canada. Demonstrating that you can do this work well is what positions you for promotion to Consultant, typically after two years.
