WHAT YOU’LL DO…

We are seeking a highly organized and detail-oriented Office Administrator to be the first point of contact at our Kelowna Head Office. This role has a strong customer service focus, and the ideal candidate will be proactive and detail-oriented with excellent communication and organizational skills.

RESPONSIBILITIES:

Greet and assist clients, visitors, and staff in a professional and welcoming manner both in-person and over the phone
Manage incoming calls, emails, and correspondence
Manage administrative tasks such as filing, data entry, bank reconciliation, and meeting minutes
Conduct building safety tours, coordinate building and yard maintenance when needed along with managing the relationship with suppliers and vendors
Maintain and organize front office operations along with the common areas in our building, ensuring a clean and efficient workspaces
Prepare, format, and manage documents and presentations using Microsoft Word, Excel, Publisher and PowerPoint
Manage calendars, schedule meetings, and internal communications via Microsoft Outlook
Coordinate and plan corporate events
Coordinate mail, courier deliveries, and office supplies
Provide administrative support to various departments as needed

QUALIFICATIONS:

Minimum 2 years of administrative or office experience an asset
High school diploma or equivalent required; post-secondary education in administration an asset
Valid driver’s license and access to a reliable vehicle are required
Proficiency in Microsoft Excel, Word, and Outlook and keep up to date on new technologies
Demonstrated willingness to take initiative and proactively contribute to team goals, projects, and problem-solving efforts
Excellent communication and interpersonal skills
Professional demeanor with strong customer service skills
Strong attention to detail with excellent organization and multitasking skills

OTHER INFORMATION:

This is an onsite position located in Kelowna, BC. (805 Crowley Ave, Kelowna, BC V1Y 7G6)
This position works Monday to Friday, 8-hour days
