Project Coordinator in SaaS/Senior Living

Reports To: VP of Operations

Location: Virtual (Calgary)

Employment : 12 month Contract

Are you an exceptionally organized and proactive project professional ready to make a significant impact across an entire organization? We're looking for a Project Coordinator to streamline operations and elevate project success across our departments.

We're a fast-growing B2B marketing automation platform; as we scale, implementing efficient, consolidated project processes is paramount. This isn't just a project coordination role; it's an opportunity to contribute to and implement best practices that will drive our company forward.

JOB SUMMARY

Reporting to the VP of Operations, the Project Coordinator is responsible for owning the coordination of multiple customer implementation or internal projects from initiation to completion, ensuring timely delivery and meeting success criteria. This role also involves orchestrating cross-functional teams, aligning with stakeholders, optimizing processes, and maintaining meticulous project documentation and reporting. As our Project Coordinator, you'll be the organizational backbone of our customer implementation projects.

RESPONSIBILITIES AND ACCOUNTABILITIES

Held accountable for the outcome of the:

Execution and outcomes of the goals set for each project.
Delivery of efficient project processes within ActiveDEMAND.

The key responsibilities of the Project Coordinator include:

Project Leadership & Coordination: Own the coordination of multiple implementation projects from initiation to completion, ensuring they are delivered on time and meet success criteria.
Team Orchestration: Lead the coordination of multiple projects spanning various departments and cross functional teams. Collaborate with department leads to understand team capacity and availability, helping to plan project completion effectively and identify resource needs.
Stakeholder Alignment: Act as the central hub of communication, ensuring all necessary data and requirements are collected from external stakeholders and all internal stakeholders' needs are met.
Process Optimization: Proactively identify project blockers and collaborate with the team to resolve them efficiently, continuously seeking ways to improve our project delivery processes.
Documentation & Reporting: Maintain meticulous project documentation, create insightful progress reports, conduct project retrospectives, and ensure all project data is accurate and accessible.
Overseeing the testing, assessment, and evaluation of project quality throughout the project.
Assessing and prioritizing process/project opportunities and managing them from beginning through to completion.
Staying abreast of the product roadmap, as well as understanding the scenarios, features, and functions within each of the products and how these are applied to address business and technical problems.
Improving the overall operating efficiency in collaboration with the respective departments, through technological improvements and process optimization.
Providing technical support and guidance in troubleshooting software and services
Assisting managers in fostering a continuous improvement culture within ActiveDEMAND.
Attending regularly scheduled Project Management meetings.
Augmenting professional and technical knowledge by attending educational

QUALIFICATIONS

Education and Experience:

3-5 years of experience in Project Management or Project Coordination, preferably within a software company or a cross-functional project environment.
Proven ability to manage multiple projects simultaneously with varying deadlines and priorities across different teams.
Strong understanding of Agile, Scrum, and Kanban methodologies.
Proficiency with Jira, Jira Service Management, Confluence, and Google Suite (Docs, Sheets, Slides).
Exceptional interpersonal and communication skills with a knack for fostering collaboration and ensuring clarity.
A customer-centric mindset and an understanding of Customer Success principles.
Project Management certifications (CAPM, PMP, PMI-ACP) are considered an asset.

Skills and Knowledge:

Strong understanding of the Software Development Lifecycle (SDLC).
Ability to plan and execute at both strategic and operational levels.
Strong understanding and knowledge of software development processes.
Ability to cope with conflicting demands and prioritize tasks.
Strong strategic planning and analysis skills in project management strategies.
Outstanding organizational skills.
A proactive, organized, and detail-oriented approach, with a drive to contribute to process improvement.
Ability to identify and resolve obstacles to keep projects on track.
Excellent verbal and written communication with team members and clients, including extremely effective public speaking skills and presence.
Ability to work collaboratively with colleagues and staff to create a results-driven, team-oriented environment.
Outstanding customer service skills.
Prior experience in customer success or marketing project environments is considered an asset.
Familiarity with other help desk or CRM tools is considered an asset.

WHAT WE OFFER

The annual salary range for this position is $65,000 - $75,000.
