Full job description

Integrated Staffing is currently recruiting for an Administrative Assistant for a full-time opportunity in the Saint John area. Reporting to the Office Manager and Branch Manager, you will be the first point of contact for clients, visitors, and business partners while providing administrative support to ensure the office operates efficiently. This role is ideal for someone who enjoys delivering excellent customer service, staying organized, and working in a fast-paced office environment.

Key Responsibilities

Greet clients, visitors, and vendors in a professional and welcoming manner.
Answer and direct incoming phone calls, emails, and general inquiries.
Provide exceptional customer service while maintaining a positive and professional attitude.
Receive, sort, and distribute incoming mail and courier deliveries.
Prepare outgoing mail and shipping documentation as required.
Maintain organized electronic and paper filing systems.
Assist with creating and maintaining project files and administrative records.
Upload and organize project documentation, reports, and other files.
Schedule appointments, meetings, and coordinate calendars.
Support project managers and office staff with day-to-day administrative tasks.
Coordinate communications between clients, contractors, suppliers, and internal team members.
Process invoices, purchase orders, and assist with accounts payable and receivable documentation.
Assist with payroll administration, including collecting employee timecards when required.
Monitor office supply inventory and place orders as needed.
Help maintain a clean, organized, and professional reception and office environment.
Perform general administrative duties and other tasks as assigned.

Qualifications

Previous experience in a receptionist, administrative, or office support role is preferred.
High school diploma or equivalent required.
Experience in the construction, restoration, or insurance industry is considered an asset.
Proficiency with Microsoft Office, including Word, Excel, and Outlook.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
High level of accuracy and attention to detail.
Professional, dependable, and customer-focused.
Ability to work independently while contributing to a collaborative team environment.
Strong problem-solving skills with the ability to manage multiple priorities.
Ability to maintain confidentiality and handle sensitive information with discretion.
