Full job description

Location: Hybrid working in Kamloops, 2-3 days per week in office.
Travel: This role considers candidates in Kamloops and Vancouver. If based in Kamloops, quarterly travel to Vancouver is required.
Language: Excellent written and verbal English communication skills required
Duration: Full-Time Contract, 12 months with possibility for extension
Background Check Requirement: Criminal record check and professional references

Working closely with the Chief People Officer and People & Culture leadership team, you will be a trusted partner responsible for ensuring seamless executive operations, managing competing priorities, and facilitating effective communication across diverse stakeholder groups. Your Responsibilities

You’ll provide comprehensive executive support to the Chief People Officer, including calendar management, correspondence, travel coordination, and expense administration
You’ll coordinate leadership meetings, prepare agendas, capture minutes, and ensure timely follow-up on action items
You’ll develop and maintain strong relationships with executives, board members, and internal and external stakeholders while handling sensitive information with discretion
You’ll manage competing priorities, deadlines, and stakeholder expectations while ensuring seamless day-to-day operations
You’ll support event planning, records management, document administration, and departmental coordination activities
You'll Gather, organize, and prepare information for reports, business plans, operational documents, presentations, and executive communications
You'll support records management, document administration, and SharePoint organization to ensure information is accessible and well maintained
You'll coordinate travel arrangements and schedules, adapting quickly to changing priorities and business needs
You'll provide administrative and coordination support across the broader team as required

Skills and Qualifications

5-7 years of progressive administrative experience, including at least 5 years supporting senior executives in a complex organizational environment
Post-secondary education in Business Administration or a related discipline, or an equivalent combination of education and experience
Experience supporting business planning, budgeting processes, procurement, invoicing, and project coordination activities
Strong knowledge of financial statements, expense administration, audit processes, records management, and executive reporting
Proficiency with Microsoft Office applications, including PowerPoint, Word, Excel, and Outlook
Demonstrated relationship-building, communication, problem-solving, and organizational skills
Experience with travel and event planning, project execution, and Concur or SuccessFactors is considered an asset
Experience creating executive presentations, reports, and other business documentation
Experience with SharePoint or the ability to learn new systems and technologies quickly
