Note: This position requires regular travel between our clinic locations throughout York Region. Candidates must possess a valid Ontario driver's license and have access to a reliable vehicle.
Position Summary
MediOne Physicians is seeking a highly organized, detail-oriented, and patient-focused Part-Time Clinic Manager to support the daily operations of our growing multidisciplinary medical practice.
This role works collaboratively alongside our physicians, management team, and full-time Clinic Manager to ensure smooth clinic operations, strong team performance, and an exceptional patient experience. As responsibilities are shared across the leadership team, the successful candidate will assist with clinic operations, staff support, physician administration, reporting, financial reconciliation, and process improvement initiatives.
Key Responsibilities
Clinic Operations & Staff Management
- Support the day-to-day operations of the clinic to ensure efficient patient flow and service delivery.
- Assist with supervising, training, and supporting MOAs and administrative staff.
- Help coordinate staff schedules, vacation coverage, and workflow management.
- Troubleshoot operational issues and support continuous process improvements.
- Assist with physician onboarding and administrative setup.
- Ensure clinic policies, procedures, privacy standards, and operational protocols are followed.
- Address patient concerns and assist with service recovery when required.
- Support inventory management, vendor coordination, and general clinic administration.
- Collaborate with the management team to support clinic growth and operational initiatives.
Multi-Site Operations Support
- Conduct periodic site visits and spot checks across clinic locations to ensure operational standards, workflows, and policies are being followed.
- Identify and escalate operational, compliance, staffing, or workflow concerns to the management team.
- Support consistency and communication across all MediOne clinic locations.
- Collect clinic mail, correspondence, and important documents from various sites and distribute them to the appropriate management team members.
- Pick up and deliver management correspondence, financial documents, and clinic records to the Business Director as required.
Physician Administration & Reporting
- Assist with physician payment calculations, remittances, and compensation reporting.
- Review and reconcile OHIP Remittance Advices (RAs) and physician billing reports for accuracy.
- Monitor, investigate, and follow up on rejected, declined, and unpaid billings.
- Work with physicians and billing teams to identify billing discrepancies and support claim resubmissions where appropriate.
- Support physician earnings tracking, uninsured billing reporting, and revenue analysis.
- Prepare physician payout summaries and maintain accurate compensation records.
- Work closely with the Business Director to reconcile billing reports, physician earnings, and monthly remittances.
- Maintain accurate records and spreadsheets related to physician compensation and clinic performance metrics.
Financial Reconciliation & Administrative Support
- Perform weekly reconciliation of uninsured billings, payments, and supporting documentation.
- Collect uninsured cash payments and related documentation from clinic locations and ensure proper handling and reporting.
- Assist with the secure transfer of uninsured cash, financial records, and supporting documentation to the Business Director for review and processing.
- Prepare operational, financial, and performance reports.
- Assist with tracking clinic KPIs and physician productivity metrics.
- Support special projects and initiatives led by the management team.
- Participate in management meetings and contribute ideas for operational improvements.
- Assist with the implementation of new processes, systems, and workflows as the organization continues to grow.
Qualifications
Required
- Previous experience in a medical clinic leadership, supervisory, or clinic management role.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Excellent communication and interpersonal skills.
- Strong proficiency in Microsoft Excel and Microsoft Office Suite.
- Strong numerical and analytical abilities with exceptional attention to detail.
- Ability to review reports, identify discrepancies, and work with data accurately.
- Ability to handle confidential information, financial records, and cash reconciliation with professionalism and discretion.
- Valid driver's license and reliable transportation to travel between clinic locations as required.
Preferred
- Experience with PSS EMR and Ontario healthcare operations.
- Knowledge of OHIP billing processes, Remittance Advices (RAs), physician compensation models, and uninsured billing.
- Experience reviewing billing reports, rejected claims, and physician earnings.
- Experience preparing operational, financial, or performance reports.
- Post-secondary education in Healthcare Administration, Business Administration, or a related field.
Schedule
- Part-time position (approximately 15–25 hours per week).
- Flexible schedule based on clinic needs.
- Travel between clinic locations is required.
- Hybrid work arrangements may be available for certain administrative responsibilities.
