Job Overview

We are seeking a professional and organized Office Administrator/Receptionist to join our team. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and maintaining an efficient office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency in various office software. Experience in medical or dental offices is a plus, but not required. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.

Duties

Greet visitors and clients professionally at the front desk, ensuring a welcoming atmosphere
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
Perform data entry tasks accurately into QuickBooks and other relevant software systems
Handle filing, record keeping, and document management with attention to detail
Assist with billing, bookkeeping, and basic financial recordkeeping as needed
Support administrative tasks such as proofreading documents, preparing correspondence, and managing office supplies
Provide excellent customer service by addressing inquiries promptly and courteously
Coordinate with team members to ensure efficient office operations and support other departments as required

Qualifications

Proven experience in office administration or clerical roles; experience in medical or dental offices is advantageous
Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
Strong computer skills including data entry, typing, and document proofreading
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and customer service skills for front desk interactions
Ability to manage multi-line phone systems efficiently and handle multiple tasks simultaneously
Attention to detail in recordkeeping, filing, and correspondence management
Prior experience with bookkeeping or basic financial tasks is preferred but not mandatory
Strong organizational skills with the ability to prioritize tasks effectively

This role is essential for maintaining a professional office environment while supporting daily administrative functions. The successful candidate will demonstrate reliability, excellent communication skills, and a proactive approach to their responsibilities.

Pay: $16.00-$20.00 per hour
