Job Overview

We are looking for an organized, proactive, and reliable Administrative Assistant preferably with previous construction company experience to support daily office operations and assist our management team.

This role is ideal for someone who can multitask, stay organized in a fast-paced environment, and help keep projects and office operations running smoothly.

Key Responsibilities

Interior Design
Meet with homeowners to guide them through interior and exterior finish selections.

Office Administration

Manage daily office operations and maintain an organized, professional work environment.
Answer phones, respond to emails, and greet clients and visitors.
Schedule appointments, meetings, and client design consultations.
Prepare contracts, correspondence, reports, and other project documentation.
Maintain client files and ensure accurate record keeping.
Coordinate office supplies, equipment maintenance, and vendor relationships.
Assist with invoicing, purchase orders, and other administrative tasks as required.
Support management with special projects and general administrative duties.

Client Service

Prepare and present design concepts, color palettes, and material recommendations.
Assist clients in selecting flooring, cabinetry, countertops, paint, lighting, plumbing fixtures, and other finishes.
Ensure selections align with project specifications, budgets, and construction timelines.
Maintain accurate records of client selections and prepare selection documentation.
Coordinate with construction, purchasing, and suppliers to communicate approved selections.
Stay current on industry trends, products, and design innovations.
Maintain the design centre, sample library, and product displays.
