Full job description

This position will include the responsibilities of receptionist, office administrator, and bookkeeper. The duties also include general housekeeping and cleaning tasks of the office. Working hours from 7:55 am to 5:05 pm, including a one-hour lunch break (12:00-1:00 pm), and two coffee breaks. May require extended working hours from time to time, as needed. Fluent English speaking and professional phone answering skills are absolute requirements.

Minimum 2 years of experience in bookkeepeing and using QuickBooks software is required. Formal training or education in bookkeeping is considered an asset.

The successful candidate will have a very high level of care, demonstrated through careful attention to details and a great sense of urgency to get things done correctly and quickly, in a calm and professional manner.

The ideal candidate would also have the following requirements:

The successful candidate will be punctual and possess good character and attitude- can get along with all kinds of personalities.
The successful candidate will be a fluent English Speaker, as well as, a competent technical English writer skilled in proofreading and copy-editing.
The successful candidate will possess "Effective Listening Skills" - eager to understand the other parties during communications.
The successful candidate will be preferably a non-smoker, a non-drinker, and non-user of addictive drugs. The workplace is strictly non-smoking with no tolerance for alcohol use at the premises.
Always communicating with etiquette and conducting herself/himself professionally
Ability to work well with all levels of internal management and staff, as well as, outside clients and vendors on a daily basis
Attention to detail and a high degree of accuracy
Error-free typing, self-correcting skills, and accurate numerical data entry -Proficient in using Microsoft Office software (Excel, Word, Access, PowerPoint, Outlook, and Publisher
Maintaining confidential information, and security of the premises (passwords, keys, and other security-related items), in a rigorous manner
Handling cash, bank checks, and notes of financial value
Handling all day-to-day operation matters, and being able to take responsibility and fill in when required and ensure that the office premises are kept clean and tidy
Greet and assist visitors, answer phones, direct calls, and respond to inquiries in a professional and positive manner
Act as Executive Assistant and provide support for various responsibilities often including taking care of tasks and errands that are not office related, as well as, duties pertaining office such as screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; training and supervising other staff; and client relations.
Perform other related duties as required

Other Requirements:

Proficient in using QuickBooks Software, as well as, Microsoft Office software (Excel, Word, and Outlook)
Stress management techniques
Perform other related duties as required, these duties may not be under the category of receptionist or office administrator
Minute taking and note taking skills
Time management excellence
Conflict resolution skills and ability to handle difficult communications, including also client satisfaction communications, in a professional manner
As the person working in this position will be handling confidential and privileged information and valuables, this position requires at least one bankable guarantor that will provide a personal guarantee for any breach of trust, confidentiality, or other contractual obligations.
As the person working in this position will become a face of the company and company's reputation, discretion on the individual's social media and internet contents are required.
Preparing meeting agendas, meeting minutes, reports, and other documents
Knowledge of accounting, bookkeeping, human resources, sales, marketing, information technology (IT), and graphic design software is considered an asset.
Competence in using office equipment
